Archive and unarchive templates

Archive and unarchive let you hide a template from the default templates list, or bring it back, without ever deleting the template. Archiving is fully reversible: unarchive a template at any time, and campaigns or journeys that already used it keep showing it correctly in their history.

As brands run seasonal campaigns, A/B variants, and one-off communications, the templates list can build up over time and get cluttered, increasing the risk of picking an outdated template by mistake. Archiving keeps your active templates list clean without losing any template data.

Note

This feature isn't enabled by default. Raise a Jira ticket with the Product Support team to enable Archive for your organization. Once enabled, Archive is available for SMS, Email, WhatsApp, RCS, Push notifications, In-app message, Wechat, Viber, and Line. It's not available for Zalo templates. WhatsApp and RCS templates that are still pending, awaiting approval, or unsubmitted must reach a final status before they can be archived. Archive and unarchive are only available on the standalone Creatives page. These actions are hidden when you're selecting a template from within a campaign or journey message flow.

Archiving a template

To archive a single template, perform the given steps below:

  1. From the Engage+ homepage, navigate to Creatives and select the required engagement channel.
  2. On the template card, select the three-dot menu () and then select Archive.
  1. In the Archive templates confirmation dialog, select Confirm.

A toast confirms: "Template archived successfully." The template disappears from the default (active) templates list.

Archiving multiple templates at once

To archive multiple templates, perform the given steps below:

  1. On the templates listing page, select the checkbox on each template card you want to archive.
  2. In the selection bar that appears, select Archive.
  3. In the Archive templates confirmation dialog, select Confirm.

A toast confirms how many templates were archived, for example: "3 templates archived successfully."

Note

A single bulk archive or unarchive action supports up to 200 templates.

Viewing archived templates

Archived templates move out of the default list into a separate Archived templates view.

  1. From the Engage+ homepage, navigate to Creatives and select the required engagement channel.
  2. Select the three-dot menu () next to the Create new button, then select Archived templates.

Each template in this view is tagged Archived. Select the back arrow next to Archived templates to return to the active templates list.

Unarchive a template

To unarchive a single template, perform the given steps below:

  1. In the Archived templates view, select the three-dot menu () on the template and then select Unarchive.
  2. In the confirmation dialog, select Confirm.

A toast confirms: "Template unarchived successfully." The template moves back to the default (active) templates list.

Bulk unarchive templates

To unarchive multiple templates at once, perform the given steps below:

  1. In the Archived templates view, select the checkbox on each template you want to unarchive.
  2. In the selection bar that appears, select Unarchive.
  3. In the confirmation dialog, select Confirm.

A toast confirms how many templates were unarchived, for example: "3 templates unarchived successfully."

Note

In the Archived templates view:

  • Search only looks through archived templates.
  • Create new is hidden.
  • Each template's three-dot menu shows only Unarchive and Delete.
  • The view isn't remembered across a page refresh: refreshing takes you back to the default active templates list.

You can't edit or duplicate a template while it's archived. If you try to edit one, you'll see the message: "Cannot edit an archived template. Please unarchive it first." Unarchive the template, make your changes, then archive it again if needed.

Frequently asked questions

Q: Does archiving delete the template, or affect campaigns and journeys that already use it?
A: No. Archiving only removes the template from the default list. It doesn't delete any data, and campaigns or journeys that already used the template keep showing it correctly in their history.

Q: Will an archived template still show up in search?
A: Only in the Archived templates view. Search on the default (active) templates list never returns archived templates, and archived-view search never returns active ones.

Q: Can I archive a WhatsApp or RCS template that's still awaiting approval?
A: No. WhatsApp templates that are pending, awaiting approval, or unsubmitted, and RCS templates that are pending or awaiting approval, can't be archived until they reach a final status.
